Although PowerPoint has been around for over 20 years, it continues to the most popular way of providing reports in many businesses including market research, marketing, sales, performance monitoring, financial, health, education and more. Our automated PowerPoint reporting services are a major part of our business and enable our customers to deliver reports quickly and accurately to their internal or external clients.
Reports at the click of a button
It is quite common for there to be a need to produce a number of reports for different teams, outlets, divisions etc. In such circumstances, report automation can not only save time and speed up the process, but it can reduce errors and mean that if a report needs to be refreshed due to changes in the data or, dare I mention it, errors in the data, new reports can be produced at the click of a button. Let’s face it, manually prepared reports are tedious to produce, easy to get wrong and slow to change when the boss wants what might seem a minor change.
Report automation expertise is at hand
At MRDC, although our background is in market research, we have worked in a whole range of sectors automating PowerPoint reports for clients. If you want the reports as PDFs rather than editable PowerPoint slides, that’s easy to provide at no additional cost.
We’ve worked on a range of reports – from big reports of hundreds of slides where each report has particular differences to huge volumes of reports which might only contain one or two slides.
So, how much does it cost?
OK, let’s get down to the cost. There are two parts to the process – managing and using the data and producing the report as required.
The cost of data management
The data management part can be negligible if you are already providing calculated results that just need to be presented in a more meaningful way. Conversely, if there are a lot of calculations to carry out, we either use Excel or, if the calculations, are more complex or of a larger volume, we will use MRDCL, our own powerful number cruncher. Where we are just moving figures from, say, Excel to PowerPoint charts, tables and other graphics, the cost will be quite low – maybe, as little as UKP200 (about USD300). For more complex tasks or large volumes, this can rise to UKP5000 (about USD7500) and occasionally, but rarely, more. If the reports are quite short, the likelihood is that there are few calculations. This will reduce the cost significantly.
The cost of producing the PowerPoint reports/PDFs
The cost of automating the reports will dependent on two main things - the number of slides you need to populate and the number of different types of chart/tables/graphic that you need to have populated. If you are producing 100 slides which each contain a chart that looks the same with different data, this will be cheaper than 20 completely different slides full of different graphics, charts, texts etc. Pricing this is difficult, but many smaller reports can be automated for UKP400 (about USD600), whilst bigger, complex projects may reach UKP10000 (about USD15000) – and, of course, some can be more.
The cost of producing multiple reports
The number of reports produced will have an impact, but volumes of under 100 will cost more or less the same. It’s only when the volumes start to rise that the size and complexity of the report will impact. Large volumes of big PowerPoint reports can be easy to run, but quite slow, so there can be some cost implications.
Repeating the report production
Now, comes the real benefit. If you want to repeat the report, say, every quarter, the report can be rerun at a negligible cost. And, it can usually be produced immediately after the data is ready.
What are the keys to success?
Good planning, good organisation and knowing what you want will always keep costs down. Changing your mind will add to costs, but it doesn’t mean we are not flexible. We are always willing to guide you through the process to ensure that a project runs smoothly.
Do you need the reports distributed?
We are also able to put together systems that automatically distribute the reports to different recipients either by emailing or providing a download site. Again, this can be put together quickly and efficiently.
